Hardware vs Virtual Fiscalisation: Which Route Is Right for Your Business?

Hardware vs Virtual Fiscalisation: Which Route Is Right for Your Business?

ZIMRA recognises two ways to fiscalise: buy a physical fiscal device, or connect compliant software directly to FDMS. Neither is “wrong,” but they suit different businesses. Here’s how to tell which one fits yours.

The Two Compliance Routes

The first route is a hardware fiscal device bought from an approved supplier and configured to interface with FDMS. The second is virtual fiscalisation: software — typically a POS or accounting system — that connects directly to the FDMS API, with no physical fiscal device at all.

Hardware Fiscal Devices: What to Expect

A hardware device is a dedicated, sealed unit installed at each till. Budget for the device itself, configuration and interfacing, an ongoing maintenance agreement, consumables, and downtime if it develops a fault — because it’s sealed, you can’t repair it yourself, so a fault means waiting on the supplier. Every additional till means another device.

Virtual Fiscalisation: Software-Based Compliance

With virtual fiscalisation there’s no device to buy at all. You pay for a software subscription, and each additional till is simply another login rather than another piece of hardware. When ZIMRA changes FDMS requirements, the fix arrives as an app update rather than a technician visit.

Side-by-Side Comparison

Factor Hardware Device Virtual (Software)
Upfront cost Device + installation per till Subscription only, no device
Adding a till Buy another device Add another login
Repairs Sealed — supplier only No hardware to repair
Updates Technician visit App update
Mobility Fixed at the till Works on phones/tablets anywhere

Which Route Fits Your Business?

For most retail and service businesses, the software route is faster to deploy, cheaper to maintain over time, and scales more easily across branches. It tends to suit shops, restaurants and service providers that already want a modern POS. A hardware device can still make sense for very high-volume, single-location tills where a dedicated unit is preferred. See our full breakdown of what each route actually costs before deciding.

This is general guidance — confirm your specific obligations with ZIMRA or a registered tax practitioner.
